Privacy policy
What we keep, who sees it, and why.
Last updated November 1, 2026
The short version: we keep what's needed to arrange games between adults. We hold nothing about players, we don't sell personal information, and we don't use advertising or tracking cookies.
What we collect
- Your account: email address, name, city, phone number if you add one, the roles you choose, and for officials their certification and travel radius.
- Your teams and games: team name, sport, age group, level, home field, open dates, games, scores, ratings and the messages coaches and officials send each other about a game.
- The waitlist and Help: what you type into those forms, such as your name, email, team or club, city and message.
- Sign-in: a cookie that keeps you signed in. Our hosting provider keeps short-lived server logs, such as IP addresses, to keep the site running and secure.
What we don't collect
- Nothing about players: no names, birthdates, rosters or photos of children.
- No advertising or cross-site tracking cookies.
- No card numbers. When payments go live, the payment processor holds them, not us.
Who sees it
- Everyone: team names, cities, records, results, ratings, open dates and the head coach's name.
- The other team, after a game is accepted: coaches' names, email addresses and phone numbers, so you can arrange the game.
- Officials and the two teams in a game: each other's name and phone number, and the game's message thread.
- Our staff: what they need to approve officials, answer Help tickets and settle disputed scores.
Companies that handle it for us
We share data only with the services that run the site, and only for that purpose:
- Supabase: database and sign-in
- Vercel: hosting
- Resend: sending email
- Google: only if you choose to sign in with Google
- Stripe: payments, once they go live
We don't sell or rent personal information, and we don't share it for advertising.
We email you about your account and your games: sign-in links, game requests, approvals and changes to games you're part of. We don't send marketing email without asking first.
Children
Open Weekend is for adults who run youth teams. We don't knowingly collect information from children under 13. If you think a child has given us their information, tell us through Help and we'll delete it.
Keeping, correcting and deleting
- You can change your profile at any time from My account.
- To get a copy of your data or have your account deleted, ask through Help. We delete your account and personal details; scores from games already played stay with the teams.
- Waitlist entries are kept so we can set you up at launch. Ask through Help and we'll remove yours.
Security
Data is encrypted in transit, the database refuses direct access from browsers, and only staff can see account details beyond what's listed above. No system is perfectly secure; if we learn of a breach that affects you, we'll tell you.
Changes and contact
We'll post changes here and email account holders about important ones. Questions: Help and contact, or email openweekendsports@gmail.com. See also the terms of service.
